Inquiries slip through the cracks
A lead calls at 7 a.m., you're on a job site, and nobody answers. Two days later they've hired the shop down the street. No system catches it — because the system is you.
Custom A.I. & business automations for the San Fernando Valley
The estimates, scheduling, invoices, and follow-ups that eat your nights — handled by an AI back office built around how your shop actually runs. You approve the important calls. We handle the busywork.
Sound familiar?
You didn't start your business to babysit a calendar and chase unpaid invoices. But that's where the hours go.
A lead calls at 7 a.m., you're on a job site, and nobody answers. Two days later they've hired the shop down the street. No system catches it — because the system is you.
Quotes after dinner, invoices on Sunday, reminder texts at midnight. The work gets done, but it's coming straight out of your life.
How you price, how you onboard, how you follow up — it's all tribal knowledge. If you take a day off, the business stalls. If you hire, training takes months.
None of this is a software problem you can fix by buying another app. It's a back office problem — and that's exactly what we build.
What we do
Eight assistants, each one scoped to a job you'd otherwise do by hand. Start with one, or connect them into a full office.
Daily briefings, inbox triage with drafted replies, meeting prep, and reminders. Turn your notes into tasks before they turn into forgotten promises.
Capture inquiries from web, email, and messaging. Qualify, log them to your CRM, draft the reply, and route follow-ups — so no lead goes cold.
Scheduling with confirmations and reminders, reschedule rules, and pre-appointment intake. Fewer no-shows, fewer phone-tag mornings.
Guided intake, estimates built from your approved pricing, proposals, onboarding checklists, and signature-and-deposit tracking.
Drafted invoices, payment reminders, receipt and vendor-bill capture — with a clean handoff to your bookkeeper every month.
Answers from your approved knowledge base, routes requests, runs post-service check-ins, and escalates anything sensitive to a human.
We turn your notes and interviews into SOPs and a searchable internal assistant, with citations — so new hires ramp up in days.
Integrations across email, calendar, forms, CRM, project management, and accounting. De-duplicated data entry, dashboards, and access controls.
Every assistant runs with a clear rule: routine and reversible work is automated; anything involving payments, pricing exceptions, contracts, or sensitive customer comms still requires your approval.
How it works
We audit your workflows, map your tools and data, and hand you a Back Office Blueprint — a prioritized plan with scope and clear success measures. Fixed fee, no obligation.
We install the scoped assistants, wire them into the tools you already use, and train your team on them. You get working systems — not a slide deck.
We monitor for failures, maintain integrations and knowledge, test changes, review permissions and costs, and report measured results — month after month.

Who it's for
If you run a 5-to-50-person shop in the SFV or greater LA and the owner still does the admin, this is for you.
About us
SFV Back Office is run by people who live and work here — from Chatsworth to Burbank, Northridge to Studio City. We know a roofing crew's season doesn't stop for a paperwork backlog, and a clinic can't ask a patient to "hold" while the owner finds the invoice.
So we build back offices that speak plain English, respect owner approval on the calls that matter, and run quietly in the background — using AI as the office staff you could never quite justify hiring full-time.
SFV Back Office is operated under Elder Media LLC, and serves the San Fernando Valley and greater Los Angeles.
Questions
No. You're not buying software you have to configure and babysit. We design, install, and — on a Manage retainer — run your back office for you. You approve the important calls; we keep the rest moving.
Routine and reversible work — scheduling, drafting, reminders — is automated. Anything consequential, like payments, pricing exceptions, contracts, sensitive HR, or customer-facing messages that need judgment, is routed to you for approval first. That boundary is written into every contract.
Usually not. We wire your assistants into the email, calendar, forms, CRM, project management, and accounting tools you already use. Where a tool is genuinely holding you back, we'll say so during the Assess step — and only recommend a change if it pays for itself.
Typical engagements: $497 flat for the Assess blueprint, builds from $1,500, and ongoing management from $350/month. Every build is scoped to your business after the free assessment, so you'll have a firm number before you commit.
We configure assistants to work only across systems and documents you approve, with access controls and permission reviews as part of the Manage retainer. Your data stays yours; we don't train on it or sell it. See our Privacy Policy for details.
The Assess blueprint typically takes about a week. A focused first build can be live within a few weeks. We stage work so you see value early — usually starting with the one assistant that removes the most pain.
That's exactly who we build for. You don't need to know how any of it works — you run your business, we run the back office. We train your team on what to do, and keep the technical side off your plate.
That's why the Manage retainer exists. We monitor for failures, review permissions, and test changes before they roll out. When something goes wrong, we fix it — you don't get a support ticket queue, you get us.
